VERITY MSC™MEDSPA COMPLIANCE

Frequently asked questions

The questions we are asked most, answered plainly.

Running a med spa comes with a lot of questions. We help owners, medical directors and clinical teams understand where they stand and what needs attention. Here are some of the ways Verity can help.

Getting started

We’re opening a med spa. When should we reach out?

The earlier, the better — ideally before you start seeing patients. We can help you work through policies, staff preparation, documentation, clinical oversight, and the compliance questions that apply to your services. It is easier to build good systems from the beginning.

We’ve already opened. Is it too late to get organized?

Not at all. We’ll start with how your practice operates today, identify what needs attention, and help you put a manageable plan in place. You don’t need to have everything organized before contacting us.

We haven’t had any problems. Why would we need a review?

You don’t have to wait for an incident or inspection to take a closer look. A proactive review can uncover gaps you may not see in day-to-day practice and help your team address them before they become bigger concerns.

We don’t know what we’re missing. Where do we start?

That’s a good reason to reach out. We can walk through your services, staffing, documentation, and safety processes with you, explain what we find, and help you decide what to tackle first.

Can you help us do our own audit?

Yes. We can give your team a clear framework for reviewing the practice, including checklists, chart-review tools, and guidance on what supporting records to gather. We can also help you turn your findings into specific next steps.

When something needs attention

A patient had a burn or another complication. Can you help?

Once the patient’s immediate medical needs are being addressed, we can help review what happened. That may include treatment records, device protocols, staff training, supervision, and follow-up. Our role is to help identify contributing factors and practical improvements; consulting does not replace the patient’s clinical care.

We had a close call, but no one was hurt. Should we still review it?

Yes. A near miss is an opportunity to understand where a process could fail. We can help your team review the circumstances, identify what needs to change, and create a straightforward way to report concerns.

DPH visited and gave us a list of things to fix. What now?

We can help you work through the findings, organize deadlines, and build a corrective-action plan with a responsible person for each item. We can also help assemble evidence of the changes you make. DPH decides whether your response meets its requirements.

Can you help us get ready for an inspection?

Yes. We can review your readiness, identify missing records or unfinished processes, and help your staff understand their responsibilities. The goal is for your documentation and daily practice to tell the same story.

We received a patient complaint or a licensing-board letter. Can you help?

We can help organize existing records, review the processes involved, and support operational improvements. If the matter involves a formal investigation or potential claim, our work should be coordinated with your attorney and insurer as appropriate. We do not provide legal representation.

Your team and clinical oversight

We audit and strengthen your medical director’s oversight; we do not replace it. We do not serve as medical director, supervising physician or collaborating provider, and we never take a fee for introducing one.

We already have a medical director. Do we still need help?

You may. Having a medical director is one part of the picture; how oversight works day to day matters too. We can review communication, treatment approval, chart review, and complication management to help identify gaps and clarify responsibilities.

I’m the medical director, but I’m not sure I know everything happening in the practice. Where do I start?

Start by getting a clear picture of the services being offered and who is performing them. We can help review those details, assess the oversight currently in place, and establish clearer expectations for reporting, treatment boundaries, and ongoing review.

Can you help us figure out who can perform each treatment?

Yes. We can map your services to staff credentials and review the scope and delegation guidance that applies. When a question needs clarification from a licensing board, regulator, or attorney, we’ll flag it rather than make assumptions.

Our staff completed manufacturer training. Is that enough?

It’s a starting point, but it may not cover everything needed for a particular role or treatment. We can help review training records, identify gaps, and develop a way to document competency, supervision, and continued learning.

We use independent contractors or rent treatment rooms. Can you help clarify who is responsible for what?

Yes. We can help you map out responsibility for patient records, clinical oversight, supplies, follow-up, and emergencies. Questions about contracts or legal responsibility can then be addressed with your attorney.

Everyday practice and patient safety

We bought a new laser, IPL, or other device. What should we have in place?

We can help review device-specific training, protocols, patient selection, consent, maintenance, and safety procedures before you begin treating patients. We can also identify registration or oversight questions that need to be resolved.

We only have manufacturer handouts or downloaded policies. Can you help?

Yes. We can develop or adapt policies around your actual services, equipment, and staff roles. Your team should be able to read a policy and understand how to use it in your practice.

We have policies, but staff don’t always follow them. What can we do?

We’ll help you look at where the written process breaks down in daily practice. Sometimes a policy needs clarification; sometimes the issue is training, staffing, or an impractical workflow. We can help address the cause and make expectations easier to follow.

Can you review our charts and consent forms?

Yes. We can review sample charts and your consent process, then suggest improvements to assessments, treatment notes, patient instructions, and follow-up tracking. We’ll also look at whether the forms support the conversations and care taking place.

Would our team know what to do in an emergency?

We can help you assess that. We’ll look at your emergency plans, staff roles, training, equipment, supplies, and escalation procedures, based on the treatments you provide. We can also help you plan drills so staff can practice their responsibilities.

Can you review infection prevention and medication handling?

Yes. We can review cleaning and disinfection, equipment reprocessing where applicable, supply storage, medication handling, and the records that support those processes. We’ll help identify where clearer procedures or additional training are needed.

Can you help with patient photos, messages, and social media processes?

Yes. We can review how patient information and images are collected, stored, accessed, and used, along with your consent and authorization workflows. If we identify a privacy issue that needs specialized legal or technical review, we’ll make that clear.

Growing your practice and working with Verity

We’re adding providers, treatments, or a second location. Can you help?

Yes. Growth can change what your practice needs. We can help you reassess staffing, oversight, training, and documentation, while identifying questions specific to the new service or location.

We’re thinking about accreditation. Can Verity help us prepare?

We can help you compare your current processes with your selected program’s standards, organize supporting records, and plan how to address gaps. The accrediting organization makes the final accreditation decision.

What will we receive after an assessment?

We’ll agree on the scope and deliverables before we begin. Depending on your needs, these may include a written findings report, a prioritized action plan, policy recommendations, documentation tools, and follow-up support. You should leave knowing what needs attention and what to do next.

Can you help us stay on track after the initial review?

Yes. Ongoing support can include periodic reviews, policy updates, training and credential tracking, and follow-up on corrective actions. We can help you build a routine that fits your practice and keeps unfinished items from getting lost. That is what the vCCO retainer is for.

Can Verity guarantee that we’ll pass an inspection or be fully compliant?

No. We can help you identify gaps, make improvements, and document your progress, but we can’t guarantee a regulator’s decision or eliminate every risk. We’ll be clear about what we can address and what needs input from another professional or agency.

How do we get started?

Tell us a little about your practice, the services you offer, and what prompted you to reach out. Whether you’re opening, reviewing your current operations, or dealing with a specific concern, we can help you identify a sensible place to begin. Send an inquiry and we will set up a 30-minute scoping call.

Still have a question?

Tell us about your practice, your service lines and anything with a deadline on it. We will tell you what we can help with, and what needs your attorney or your board instead.
